InspectAI ("InspectAI," "we," "us," or "our") provides a cloud-based visual estimating and service-business workflow platform. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when service businesses use our website, workspace, embeddable estimate widget, customer portals, calendar tools, and related communications (collectively, the "Service").
Service businesses that use InspectAI to collect information from their own clients are responsible for their own customer notices, consents, and service practices. This policy addresses InspectAI's handling of information through the Service; a service business may have separate privacy commitments to its customers.
1. Information We Collect
Business account and workspace information
We collect information a service business provides or manages through the Service, including account and authentication details, name, email address, business name, industry, business branding, labor rates, pricing rules, catalog entries, workspace settings, and subscription status. Payment-method details are handled by a managed payment service rather than stored by InspectAI.
Estimate-request and customer information
When a customer uses a service business's widget or secure portal, we process the information submitted for that request. This may include name, email address, phone number, service address, customer messages, requested service windows, appointment records, a written description of the requested service, and any optional uploaded photos.
Uploaded images and estimate content
We process uploaded photographs of equipment, property, or visible damage; the related file name and image type; the service business's applicable pricing context; the conditional estimate; business edits; lead lifecycle information; and related appointment or message records. Please do not upload personal information that is unnecessary for a service estimate.
Device, session, and support information
We may process authentication/session information, browser and device information, IP-address-related request data, error and security logs, and communications you send to us. We use cookies or similar technologies where needed for authentication, security, preferences, and any analytics that a deployment enables. The estimate widget and demo offer English and Spanish; your language choice is stored in your own browser, and server- and AI-generated status messages are currently provided in English.
Site concierge conversations
Our public site offers an optional concierge assistant ("Scout"). Messages you send to Scout are processed by a configured AI service to generate a reply and are rate-limited to reduce abuse. We also retain anonymized copies of Scout exchanges (your message, Scout's reply, a timestamp, and an anonymized session identifier; no IP addresses are stored with them) for quality review. Your recent conversation is additionally kept in your own browser so it can continue across pages. Please do not include sensitive personal information in concierge messages.
2. How We Use Information
We use information to operate and improve the Service, including to authenticate users; maintain tenant-separated workspaces; display branded widgets; receive and store estimate requests; generate conditional visual estimates; support business review; send customer portals, estimate, appointment, and message notifications; manage scheduling and counter-offers; process subscriptions; prevent fraud or abuse; secure, troubleshoot, and audit the Service; and comply with applicable law.
InspectAI's visual-estimation output is designed to be conditional. Service businesses retain control over whether to edit, approve, send, schedule, complete, or cancel work. We do not use the Service to make a binding service commitment on a business's behalf.
3. AI-Assisted Estimation
To create a team-reviewed conditional estimate, InspectAI may send the required written description, any optional submitted images, and relevant pricing context to one or more configured AI services. Failover-capable services may process a request depending on configured availability and reliability.
AI-assisted results can be incomplete or incorrect and should not be treated as an inspection, diagnosis, code-compliance determination, safety assessment, or binding quote. The service business must review the estimate and remains responsible for the customer relationship and any work performed. Processing by configured service providers is subject to the applicable provider's own terms and privacy documentation.
4. How We Share Information
We do not sell personal information for money. We disclose information only as needed to provide, secure, support, or comply with legal obligations for the Service, including with the following categories of recipients:
- The relevant service-business workspace: a customer's submitted estimate-request, portal, scheduling, and message information is made available to the business whose branded widget or portal the customer used.
- Cloud and infrastructure providers: database and managed object-storage providers host operational records and uploaded files; we use access-controlled storage references and secure transport where supported by the platform.
- Authentication service: a managed identity service authenticates service-business workspace sessions.
- AI services: as described above, a configured service may receive content needed to generate a visual estimate.
- Communications service: a managed email-delivery service receives delivery information and message content needed to send transactional estimate, scheduling, calendar-invite, and secure-portal emails.
- Payment service: a managed payment service processes subscription Checkout, payment methods, and billing-portal functions under its applicable privacy policy.
- Professional advisers, successors, and authorities: where reasonably necessary for legal compliance, enforcement, security, a corporate transaction, or protection of rights and safety.
5. Data Retention and Deletion
We retain account, workspace, customer, lead, appointment, message, and estimate information for as long as reasonably necessary to provide the Service, maintain records, resolve disputes, enforce agreements, and meet legal or operational obligations. A service business can archive customer records in the workspace; archival removes them from the active view but is not necessarily immediate deletion from operational backups or legally required records.
Plan-based retention schedules also apply. Workspaces on the free Starter plan retain lead and photo records for 30 days; signed estimates are never deleted early. Workspaces on Pro retain complete customer history while the subscription is active. A workspace that moves from Pro to Starter becomes subject to the Starter retention schedule. Operational backups may retain copies for a limited period after deletion from active systems.
To request account or personal-data access, correction, deletion, or other applicable privacy choices, contact us using the details below. We may need to verify the requester's identity and authority and may retain limited information where permitted or required by law.
6. Security and International Processing
We use administrative, technical, and organizational measures intended to protect information, including authenticated access controls, tenant-scoped application checks, signed or managed storage access, and security logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
The Service and its providers may process information in the United States and other countries where they operate. Those locations may have privacy laws that differ from the laws of a customer's location.
7. Children's Privacy
The Service is designed for service businesses and service-request workflows and is not directed to children. Do not knowingly submit personal information through the Service for a child where doing so would require parental consent or another legal basis that has not been obtained.
8. Changes and Contact
We may update this Privacy Policy as the Service or applicable requirements change. We will post the updated version with a revised date. Continued use of the Service after an update is subject to the updated policy to the extent permitted by law.
